MiraLearn (“we”, “us”) respects your privacy. This policy explains what data we collect when you use the MiraLearn app and website (the “Service”), how we use and share it, and your rights. We comply with Japan’s Act on the Protection of Personal Information and other applicable laws.
1. Data we collect
- Account information: name, email, password (stored hashed), phone number, address, date of birth, profile photo, language.
- Learning data: enrolled courses, progress, test results, essays, photos of your work, audio/video recordings you submit, notes, reviews, comments and questions.
- Program data: what you enter in program registration/report forms, attached files (such as a CV), and details of people you refer.
- Device data: push notification token, operating system, app version, device language.
- Technical data: IP address and access logs used for security and troubleshooting.
The app accesses the camera, photo library and microphone only when you choose to take or pick a photo or record audio, and sends notifications only if you allow them. We do not collect location or contacts.
2. How we use data
- Creating and managing your account, verifying your email, resetting your password.
- Providing courses, saving progress, grading assignments and giving feedback.
- Processing program registrations and reports.
- Sending notifications about courses, news and programs according to your settings.
- Moderating content, preventing fraud and keeping the systems secure.
- Supporting users and improving the Service.
We do not sell personal data and do not use it to track you across other companies’ apps or websites.
3. Sharing and processors
We share data only as needed to run the Service, with these providers:
- Amazon Web Services (servers, database, file storage, email — Tokyo, Japan).
- Vimeo (storing and streaming lesson videos and videos you submit — United States).
- Google Firebase Cloud Messaging (push notifications — United States).
- YouTube (some lesson videos are embedded from YouTube; when played, YouTube may receive technical information from your device).
Some providers are located outside Japan; we choose only providers with appropriate data protection measures. Otherwise, we disclose personal data only with your consent or when required by law.
Public posts (reviews, comments, questions) are shown to other users with your name and profile photo. Assignments, notes and recordings are visible only to you and to teachers/administrators.
4. Security
All connections are encrypted (HTTPS). Passwords are stored hashed. Private files are accessible only through time-limited links. Staff access to data is restricted by role.
5. Retention and deletion
We keep your data while your account is active. When you delete your account (Profile → Delete account, or by emailing info@miralearn.jp):
- Your name, email, phone number and address are deleted or anonymized immediately, all sessions are revoked, and your notification devices are removed.
- Content you posted may remain visible but is no longer linked to your identity.
- Some records may be kept for the period required by law or to resolve disputes.
6. Your rights
You can view and edit your profile in the app, turn off each notification type under Profile → Notification settings, and request disclosure, correction, suspension of use or deletion of your personal data by contacting us. We will verify your identity and respond within a reasonable time.
7. Children
Users under 18 need the consent of a parent or guardian. We do not knowingly collect data from children under 13 and will delete it if we find out.
8. Changes
We may update this policy and will notify you in the app of important changes. The last-updated date is shown at the top.
